Manage, configure and share user's WhatsApp QR code

ℹ️ WhatsApp QR code feature is available to all users that are on Pro plan or above. 

 

The WhatsApp QR code feature helps customers start a WhatsApp conversation with you instantly. You can copy your WhatsApp link, download your QR code, and share them across online and offline touchpoints.

When customers open your WhatsApp link or scan your QR code, they will be directed to WhatsApp with a pre-filled message. Once they send the message, the conversation will appear in your SleekFlow Inbox.


What is a WhatsApp QR code?

A WhatsApp QR code lets customers start a conversation with you by scanning a code with their phone.
Instead of asking customers to save or enter your phone number manually, you can share your QR code or WhatsApp link through channels such as:

  • Social media profiles
  • Websites
  • Business cards
  • Receipts
  • Posters or signage
  • Event materials
  • Click-to-WhatsApp ads
     

Access your WhatsApp QR code

To access your WhatsApp QR code:

  1. Click the icon in the bottom-left corner to open the Settings page
  2. Click on “WhatsApp QR code” 

     

On the WhatsApp QR code tab, you can view and manage:

  • Your connected WhatsApp number
  • Customer’s first message
  • Your WhatsApp link
  • Your QR code
  • Sharing options for different touchpoints

Your WhatsApp QR code and link will be generated automatically if your workspace has a connected WhatsApp channel.

 

Connected WhatsApp number

The connected WhatsApp number appears at the top of the page. This is the WhatsApp number customers will contact when they open your link or scan your QR code.

If your workspace has multiple WhatsApp numbers, you can switch to another eligible number from the dropdown menu. 

After switching numbers, your WhatsApp link and QR code will update automatically.

 

 

Configure the first message

The customer’s first message is the pre-filled message customers see when they open your WhatsApp link or scan your QR code.

You can update this message to make it more relevant to your business.

To update the customer’s first message:

  1. Click the icon in the bottom left corner to open the Settings page
  2. Click on “WhatsApp QR code” 
  3. Edit the message in the text field
  4. Use the {staff_name} variable if you want to include your name in the message

The message can contain up to 160 characters.

 

Your WhatsApp link is a shareable link that opens a WhatsApp conversation.

To copy your WhatsApp link:

  1. Click the icon in the bottom left corner to open the Settings page
  2. Click on “WhatsApp QR code” 
  3. Click “Copy link”
  4. Paste the link where customers can access it

You can add this link to your social media bio, website, email signature, or digital marketing materials.

 

Download WhatsApp QR code

To view and download a user’s WhatsApp QR code:

  1. Click the icon in the bottom left corner to open the Settings page
  2. Click on “WhatsApp QR code” 
  3. Click “Download QR code”


    ℹ️ Always download the latest version of the QR code after making any changes to its configurations.

     

 

When a customer opens your WhatsApp link or scans your QR code:

  1. WhatsApp opens on their device.
  2. The pre-filled message appears in the chat.
  3. The customer sends the message.
  4. The conversation appears in your SleekFlow Inbox.

You can then reply to the customer from SleekFlow Inbox.

 

Share your WhatsApp

The “Share your WhatsApp” section gives you ideas for where to place your WhatsApp link or QR code, so customers can start a conversation with you more easily.

You can:

  • Click “Copy link” to add your WhatsApp link to social media profiles
  • Click “Copy HTML code” to add a WhatsApp entry point to your website.
  • Click “Download QR code” to use your QR code on printed materials
  • Click “Learn how” to view guidance for running Click-to-WhatsApp ads on Facebook or Instagram.

Choose the option that matches where your customers are most likely to find and contact you.

 

Update WhatsApp QR code channel

You can configure a user’s WhatsApp QR code channel directly from the User management page.

To update the WhatsApp QR code channel linked to a user’s QR code:

  1. Click the icon in the bottom left corner to open the Settings page
  2. Select “User management”
  3. Navigate to the user’s record that you want to edit
  4. Navigate to the “QR code channel” column
  5. Use the dropdown to update the WhatsApp channel 

Once you updated the WhatsApp QR code channel, you can download the user’s WhatsApp QR code by clicking the icon next to their record.

Tips: Always re-download the QR code after making any changes to ensure you're sharing the latest version with customers.
