Manage your email accounts on SleekFlow

View, update, reconnect, and remove email accounts from your SleekFlow workspace.

After setting up your email channels, you can view and manage them from the “Email channel” page.

You can update how connected email accounts appear in SleekFlow, customize your SleekFlow email address, reconnect accounts that require authorization, and delete email channels you no longer need.

This article explains how to:

If you cannot access an action described in this article, contact your workspace admin to check your permissions.

 

Accessing the “Email channel” page

To start connecting your mailbox:

  1. Click on the icon on the left navigation bar to go to the “Channels” page
  2. In the left-sided panel, click “Email”
  3. You will be redirected to the “Email channel” page

 

View your connected email accounts

You can view the connected email accounts in the “Email channel” page.

The “Connected accounts” section shows:

  • Your SleekFlow email address, if it has been claimed
  • Connected Gmail / Google Workspace and Outlook / Microsoft 365 email accounts

For each connected Gmail / Google Workspace or Outlook / Microsoft 365 account, you can view its display name, email address, and current connection or import status. Depending on the account status and your permissions, you can also edit, reconnect, or delete the account.

 

Understand email account statuses

The status shown next to an email account helps you understand its current connection or email history import state.

Status

What it means

Connected

The email account is connected and its authorization is active.

Disconnected

The account needs to be re-authorized. Outgoing emails fail, new incoming emails stop syncing, and attachments cannot be loaded.

Status unavailable

SleekFlow could not check the account’s connection status. Refresh the page to check again.

Unclaimed

Your SleekFlow email address has not been claimed.

Syncing

The initial email history import is in progress.

Import failed

The initial email history import could not be completed.

 

When an email history import is syncing or has failed, additional import details may appear below the account. If an account is Disconnected, follow the steps under Reconnect an email account.

In Inbox, the same disconnection is identified by a Reconnect required banner above the email composer.

 

Edit an email account name

Note: Changing the account name only updates the display name shown in SleekFlow. It does not change the name of the connected email account and will not be visible to customers when you send emails.

 

 

You can change the account name displayed in SleekFlow without changing the connected email address.

Please note that you will need the Edit channel permission to edit an account name.

To edit an email account name:

  1. In the “Email channel” page, find the Microsoft 365 or Outlook account you want to update.
  2. Click the icon to open “Edit email account”.
  3. Edit the “Account name” field.
  4. Click “Save changes”.

The email address is read-only and cannot be changed. The dialog also shows whether the account is Connected or Disconnected.

After the account name is updated successfully, you will see the message “Account name updated”.

 

Reconnect an email account

A connected Gmail / Google Workspace or Outlook / Microsoft 365 account may need to be re-authorized if its authorization expires or is no longer valid.

On the Email channel page, the account has a Disconnected status. In Inbox, a Reconnect required banner appears above the email composer.

You need the Edit channel permission to reconnect an email account.

If you can view the channel but do not have permission to edit it, you can review its status but cannot reconnect it. Ask your workspace admin to reconnect the account.

 

Why an account disconnects

An account may disconnect when:

  • Its authorization expires.
  • Access is revoked through Google or Microsoft administration settings.
  • A password change invalidates its authorization.

Reconnect the account to restore SleekFlow’s access.

 

What happens while an account is disconnected

While the account is disconnected:

  • Outgoing emails fail.
  • New incoming emails stop syncing to SleekFlow.
  • Attachments cannot be loaded.

Reconnect the account to restore access and resume incoming email syncing.

 

Reconnect from the Email channel page

  1. On the Email channel page, find the account with the Disconnected status.
  2. Click Reconnect.
  3. Sign in with the same email account that is already connected to SleekFlow.
  4. Complete the authorization process with Google or Microsoft, depending on the account.

After authorization, you return to the page where you started. Once reconnection succeeds, the account’s status returns to Connected.

 

Reconnect from Inbox

You can reconnect an account directly from Inbox without opening the Email channel page.

  1. Open a conversation using the disconnected email account.
  2. Click Reconnect in the Reconnect required banner above the email composer.
  3. Sign in with the same email account and complete the Google or Microsoft authorization process.
  4. Return to Inbox after authorization.

Attachments associated with a disconnected account are marked Reconnect to view. Reconnect the account to load them.

 

Use the same email account

You must authorize the same mailbox that is already connected to SleekFlow.

If you sign in with a different email account, reconnection is rejected. Start the reconnection again and select the correct account. This is especially important when your browser is signed in to multiple Google or Microsoft accounts.

 

What happens after reconnection

After successful reconnection, new incoming emails resume syncing. Emails received while the account was disconnected are also added to their threads shortly afterward.

You return to whichever page you started from, and SleekFlow confirms the reconnection result there.

Reconnecting does not start a new email history import. History import can only be selected when you first connect the account.

To import older emails later, you must delete the email channel and connect the account again, selecting history import during setup.

 

Delete an email channel

You can permanently delete a connected email account from SleekFlow if you no longer want to use it as an email channel.

Warning: Deleting an email channel is permanent and cannot be undone. Deleting an email channel from SleekFlow does not delete emails from your original email mailbox.

Deleting the email channel permanently removes the following data from SleekFlow:

  • All synced emails from the email account
  • Email threads linked to the email account
  • Attachments and embedded images
  • Raw email source files (.EML)
  • Internal notes in deleted email threads
 

 

To delete an email channel:

  1. In the “Email channel” page, find the email account you want to delete.
  2. Click the icon next to the email account
  3. Review the information in the “Delete email channel” dialog.
  4. Click “Delete permanently”.
